Careers Job Title : Administration Supervisor Qualifications : •Bachelor’s Degree in Business Administration or equivalent position. •Proven experience as an Administration Supervisor or similar role. •Prior experience (minimum 2-3 years’ post-qualification experience) within a similar role in a local or multinational company. •Able to communicate in Arabic and English language is a plus. •Able to work with MS Word & Excel; some accounting understanding will be a plus. Experience : 2-3 years Responsibilities : The Administration Supervisor is responsible for overseeing the daily operations of the administrative department, ensuring that all administrative tasks are completed efficiently and effectively •Oversee and manage the daily operations of the administrative department •Manage the filing system of the Administration section. •Supervise the daily work of the Admin assistants - Work closely with the drivers to ensure smooth vehicle operation and maintenance. •Conduct and manage all matters related to office leasing, including coordination with brokers, searching for the right space, negotiating with landlords, monitoring the maintenance etc., to ensure the office leasing is as per Al RUQEE Group standards •Assist staff and visitors with flight/hotel arrangements/visas as necessary. •Ensure that the office premises, storerooms, car park, etc., are always kept neat, tidy, organized and safe work environment; report and rectify any unsafe situations. •Assist with the organization of social activities. •Assist in ensuring peaceful relations with all other parties. •Ensure emails are read daily and replied in timely manner. •Maintain accurate records and documents •Be aware of corporate guidelines, rules and regulations about the current position. Confidentiality in all aspects shall be subject to strict observation. •Facilitate Office events; Complete special projects by organizing and coordinating information and requirements; planning, arranging and meeting schedules; monitoring results. •Provide supplies by identifying reception, switchboard, mailroom, and kitchen needs and establishing policies, procedures and work schedules. •Manage invoicing and expense control relating to the premises and serviced office environment. •Ensure invoices are paid on time. •Provide statistical and budget reports. •Liaison with the other department’s needs. •Liaison with the HSE to prevent any related issues. •Ensure the company’s policies and security requirements are met. •Supervise the activities related to the processing of employees’ visas, renewals, Iqamas, work permits, licenses and other government-related documentation for RG in KSA / respective Country to ensure compliance with RG’s policies and local regulations. •Ensure compliance with company policies and procedures Understand Overall the Saudi Law, Regulation and Government Authorities such as but not limited to: •Ministry of Labour Law and its procedures. (Nitaqat, HRDF, etc.) •Ministry of Interior; Immigrations, Traffic control, •Ministry of Foreign Affairs; Visa and general inquiries. •Ministry of Commerce and Investment. •Labour Importation.
